This notice explains how personal information submitted to Rancans Software through this website is used. This notice covers the website and project enquiries, not any separate products featured in our portfolio.

Who we are and how to contact us

Rancans Software is a UK software development studio operated by Kaspars Rancans. For questions about privacy or to exercise your data rights, email [email protected] or use our contact form.

Information we collect

When you submit an enquiry, we receive the information you choose to supply, including:

  • Your name, email address and optional business name.
  • The project type, approximate budget and timeline you select.
  • Your description of the project and any other details you provide.

Please avoid submitting passwords, confidential records or sensitive personal information through the initial enquiry form. To limit spam, the website holds the IP address of each enquiry in memory for about 10 minutes to stop repeated submissions; it is not stored in a database or sent with your enquiry. Our website host may also process technical information such as your IP address and request details for security and operational purposes.

Why we use this information

We use enquiry information to answer your questions, assess your requirements, prepare proposals and communicate about work you have requested. Our lawful basis is taking steps at your request before entering a contract, where applicable, and our legitimate interests in handling business enquiries and protecting the website.

We do not use enquiry details to subscribe you to a marketing newsletter, sell your information or run advertising profiles.

Who receives the information

Enquiries are sent using an email delivery provider (Resend, when configured) to the mailbox we use to manage enquiries. Relevant hosting, email and security providers may process personal information on our behalf, only as needed to deliver their services. We may also disclose information where legally required.

International processing

Some service providers may process information outside the UK. Where a restricted international transfer takes place, we will use an appropriate UK data protection transfer mechanism or another lawful basis for that transfer.

How long information is kept

We keep correspondence only as long as reasonably necessary to respond, follow up on the opportunity and maintain relevant business records. Enquiries that do not become projects are normally reviewed for deletion after 12 months. If we work together, relevant project, contractual and accounting records may need to be kept longer to meet legal obligations or resolve disputes.

Cookies and analytics

This website does not currently use advertising cookies, analytics trackers or newsletter tracking. Necessary technical processing may take place to operate and protect the website. We will update this notice if our practices change.

Your data protection rights

Depending on the circumstances and applicable law, you may request access to, correction or deletion of your personal data, restriction of its processing, or a portable copy. You may also object to processing based on legitimate interests. Requests can be made using the contact details above.
