01Services

Four kinds of work. One standard.

Work ranges from a single, tightly scoped automation or integration to a complete operations system. Whatever the size, it is scoped, built and supported by the same engineer you first speak to.
  • Internal tools & workflow automation

    S/01

Replace the spreadsheets, copy-paste and chasing with tools shaped around how your team actually works. Approvals, job tracking, scheduling and reporting — automated where it saves time, manual where judgement matters.

    • Admin and back-office tools
    • Process automation
    • Reporting and dashboards
  • Operations systems & client portals

    S/02

One source of truth for jobs, customers, documents and money — with secure portals so clients can see progress, approve work and pay without another email thread.

    • Operations platforms
    • Secure client portals
    • Role-based access
  • Custom web applications & MVPs

    S/03

From a validated idea to a production product. We scope the smallest version worth shipping, build it properly, and leave you with a codebase you can grow rather than rewrite.

    • Product MVPs
    • SaaS foundations
    • Payments and subscriptions
  • AI systems & integrations

    S/04

Practical AI where it earns its place: document reading, research, classification and drafting — wired into your existing systems, with cost controls and a person reviewing anything that matters.

    • LLM integrations
    • Document and data extraction
    • Human-in-the-loop automation

02Selected work

Built, shipped and run by the founder.

Three systems designed and engineered end to end by Kaspars — our own products and private builds, shown honestly as what they are. Every screenshot is from the real application; personal details are redacted.

ForgeDash

A business operating system for UK trade businesses — starting with independent mechanics.

Customer invoice, generated from a completed job. Business contact details redacted.

Product demo

Walkthrough video in production

A recorded tour of the full job-to-invoice workflow will appear here.

ForgeDash connects the day-to-day work of a small garage into one system: a booking becomes a diagnostic, a diagnostic becomes a quote, a quote becomes a job, and a finished job becomes an invoice — without re-typing anything.

Behind the workshop screens sits the business side: expenses, supplier accounts, payments and live reporting, including a profit and loss view and a real-time ‘safe to spend’ figure that reserves income tax, National Insurance and VAT, so a sole trader can see what is genuinely theirs.

Built

  • Appointments, diagnostics, quotes, jobs and invoices as one connected workflow
  • Expenses and supplier account tracking
  • Business health reporting, including profit and loss
  • Stripe subscriptions and Connect payment integration; customer invoices by email
  • Vehicle data lookups by registration and an AI-assisted OCR pipeline for paperwork
  • Responsive interface designed for the workshop floor and the office

Specialist web application · Independently built

Private, sign-in only

SwimTracker

A mobile-first performance tracker for competitive swimmers — results, personal bests and progress at poolside.

Competition results are scattered across meet sheets and memory. SwimTracker turns them into a clear record per swimmer, stroke and distance, built to be used one-handed on a phone between races.

It installs to the home screen as a progressive web app and is deliberately private: sign-in only, with optional read-only share links.

Built

  • Results logged per swimmer, stroke and distance
  • Automatic personal-best detection
  • Progress charts with swimmer comparison and goal lines
  • Web push notifications when a new PB is recorded
  • CSV export and read-only share links

Stack

Next.js · TypeScript · Supabase (Postgres + Auth) · Recharts · Web Push · PWA

Internal system · Privately developed

Private AI Orchestration Platform

A self-hosted orchestration layer that routes work to specialised AI agents — with memory, schedules and a human in the loop.

Agent fleet · autonomy and permissions
Agent fleet view: four agent cards, each with a role description, permission badges (read, write own, write shared, spend, reach out) and an autonomy state — autonomous, staged and not yet live, or paused.
Agent fleet · organisation
Agent fleet organisation chart: an orchestrating agent above research, discovery and qualification agents, each with permission levels and cron or manual run controls.

Each request is classified and routed to a dedicated skill rather than one general-purpose prompt, keeping cost and context under control. A fleet of agents runs research, analysis and scheduled jobs, and every run is logged.

Autonomy is earned, not assumed. Each agent has explicit permission levels — read, write its own records, write shared records, spend, reach out — and anything customer-facing, such as an outreach email, is created as a draft for a person to review. Nothing is sent automatically.

Built

  • Intent classification and routing to specialised skills
  • Persistent memory with vector and full-text recall
  • Scheduled and on-demand agent runs, with run history
  • Research with a separate fact-checking verification pass
  • Per-agent permission levels and human-reviewed actions
  • Per-request token and cost accounting

A private system developed for the founder's own operations. It is not a product available to customers; it demonstrates how we approach AI systems.

03How we work

A clear path from first workflow to production.

Five stages, each with a defined output you sign off before the next begins. You always know what is being built, what it costs and what comes next.
  1. 01

    Discovery

A focused conversation about how the work happens today, where it breaks, and what a good outcome looks like in numbers you already track.

    Output: → Problem statement

  2. 02

    Scope

A written scope with the smallest valuable first release, the milestones that follow, and an agreed price for each.

    Output: → Scope & milestones

  3. 03

    Build

Short cycles with working software you can click through at every milestone — not a progress report. Decisions are recorded, not lost in calls.

    Output: → Working increments

  4. 04

    Validate

Your team uses it on real work before launch. Automated tests, security checks and a review of every data flow come before go-live.

    Output: → Acceptance

  5. 05

    Deploy & Support

Production deployment, monitoring and a handover you can actually use. Ongoing support and iteration are agreed up front, not sprung on you.

    Output: → Live system

04Why work with us

Small studio. Full accountability.

  • Direct founder involvement

The person who scopes your project is the person who builds it. No account managers, no hand-offs to a team you have never met, no message lost in translation.

  • End-to-end technical capability

Interface, database, integrations, payments, automation, infrastructure and deployment — one engineer accountable for the whole system, not one layer of it.

  • Measurable milestones

Work is split into milestones with a defined outcome and a demonstrable result. Each one ends with something working you can try.

  • Secure engineering practices

Least-privilege access, row-level data security, secrets kept out of code, reviewed changes and tested releases. Security is designed in from the first schema, not bolted on.

05About

Founded and led by Kaspars Rancans.

Rancans Software is a founder-led engineering studio. Kaspars designs, builds and runs software end to end — from the database schema and integrations through to the interface, the deployment and what happens after launch.

The work on this page is the clearest evidence of how he works: products and systems taken from a blank repository to production, operated on his own infrastructure, and improved release by release.

The studio exists to bring that same ownership to UK businesses whose operations have outgrown off-the-shelf tools — and to the founders and agencies who need a technical partner who will still be there after go-live.
